Privacy Policy
Effective November 1, 2026
1. Who We Are
xduty (“we”, “us”) is an off-duty scheduling platform for coordinators, the officers who work their shifts, and the companies they serve. This policy explains what information we collect when you use xduty, how we use it and who can see it. Words like Coordinator, Officer, Company, Contract and Shift mean the same as in our Terms of Service.
2. Information We Collect
Information you give us:
- Account details: your name, email address and role. If you add one, your mobile number. Passwords and passkeys are handled by our sign-in provider; we never see your password.
- Officer profile: your peace officer license number, the commission card you upload, and documents or answers a Contract asks for.
- Work records: shifts you post, claim, drop or trade; check-in and check-out times; certified hours; shift reports, incident reports and photos you attach.
- Business and billing details: company and coordinator names, billing contacts and addresses, and, if you choose to add one, an EIN for invoices. Card payments are processed by Stripe; we do not store your full card number.
- Messages to us: what you send when you email support or use the feedback form.
Information collected as you use xduty:
- Location at check-in and check-out: only if your device shares it at that moment. We do not track your location at any other time.
- Activity history: a record of important actions (for example, a shift claimed or hours approved) with the time, the account that took it, and the IP address and browser it came from.
- Technical data: your IP address and request details, used to keep the service secure and to limit abuse, and error reports when something breaks.
3. How We Use Information
- To run the platform: scheduling, rosters, check-ins, hours, reports and invoices.
- To verify officers and check that they meet a Contract's requirements.
- To send the emails and, if you opt in, text messages you need about your shifts and account.
- To bill for subscriptions.
- To keep xduty secure, prevent fraud and abuse, and fix problems.
- To answer your questions and improve the product.
We do not sell your personal information, and we do not use it for advertising.
4. Who Can See Your Information
- Coordinators: see the profiles, verification status and work records of officers on their roster or who ask to join it, including whether an officer was on site at check-in.
- Companies: see the officers scheduled at their sites, their hours and reports. On the Business or Enterprise plan they also see whether an officer checked in on site and how far they were from the post. Companies are not shown an officer's exact location.
- Officers: see the Contracts and shifts they are offered or work, and the coordinator and company names on them.
- Team members: people a Coordinator or Company adds to their account see what their access level allows.
5. Service Providers
We use trusted providers to run xduty. They process information only to provide their service to us:
- Supabase: database, sign-in and file storage
- Amazon Web Services: hosting, email and text message delivery
- Stripe: payment processing
- Mapbox: maps and address search
- Sentry: error monitoring
- Upstash: rate limiting to prevent abuse
We may also share information if the law requires it, to protect the safety or rights of our users or the public, or as part of a merger or sale of the business, in which case this policy continues to apply.
6. Text Messages
Text messages are optional and sent only after you verify your number and opt in. Reply STOP to any message to stop, or change your choices in your notification settings. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text message opt-in data and consent will not be shared with any third parties.
7. Cookies
We use cookies and similar browser storage to keep you signed in and to remember preferences such as a collapsed sidebar. We do not use advertising or cross-site tracking cookies.
8. How Long We Keep It
We keep your information while your account is open. Activity history is kept for the period your plan includes. If you ask us to delete your account, we delete or anonymize your personal information, except records we must keep for legal, tax or payroll reasons, or that a Coordinator or Company needs for hours already worked.
9. Your Choices
- Update your profile and notification choices in Settings at any time.
- Ask for a copy of your information, a correction, or deletion of your account by emailing support@xduty.co.
- Turn off text messages by replying STOP or in your settings.
10. Security
Information is encrypted in transit, files like commission cards and incident photos are kept private, and access is limited to the accounts that need it. No system is perfectly secure, so please use a strong password or a passkey and tell us right away if you think your account has been compromised.
11. Children
xduty is for adults working in or with law enforcement. It is not intended for anyone under 18.
12. Changes to This Policy
If we change this policy, we will update the date at the top. For significant changes, we will let you know by email or in the app.
